The Ulti-Scan product enables the existing users of Ulti-Forms to add a software BAR CODE to any form and allow you to scan, store, index, retrieve, select, and attach the scanned form to any Ulti-Forms process. In addition, the product can also sort, select and report on the scanned documents in order to help manage and control the various aspects of these bar coded forms. A scanner with a multi-sheet tray feeder is required.

The tool can be integrated into any scanner and automatically reads the barcode and assigns the image to an existing index that was created for the form that was bar coded. The uses of this ability are as various as the forms that are associated with it. Our discussion will focus on ‘signatures’ or ‘scanned images of a form’ that require a signature when they are delivered to your customer, returned to the office, scanned and stored as proof of delivery and acceptance of the goods. This example is called a Signed Delivery Ticket in any industry that delivers products directly to the customer.

Another example is additional shipment documents that are used in the import and export of goods overseas. These forms can also be scanned, indexed and attached to the original shipment documents for logical storage in hierarchal manner that are then available to be processed automatically by Ulti-Forms and Ulti-Scan.
The process starts when the form is created by Ulti-Forms and a software Bar Code is created and printed on each page of the form. The barcode contains the Transaction#, location, Customer#, and page # associated with the transaction. Upon delivery, the Form is signed and the drivers continue on their assigned routes. All Forms are then returned to the store where the scanner and sheet feeder is waiting to scan, index, and store the image in a manner that will allow Ulti-Forms to retrieve, attach and process with the original document.

No user data entry is required in the entire process. The barcode and Ulti-Scan software automatically updates all files and indexes the images to the FILE THAT WAS CREATED WHEN THE FORM WAS ORIGINALLY PRINTED FOR THE FIRST TIME.
